Events
An event is a dated instance with a roster people join. One-time or recurring — both are created from the same dialog.
The calendar
Calendar in the sidebar. On the left a filter panel with a guild selector (including All guilds) and a searchable activity list; on the right the calendar itself with Month / Week / Day views and a New Event button.
Creating an event
Press New Event, click an empty slot on the calendar, or use the Event button on a row of the activities table.
-
Event Name — required, e.g., Weekly Raid.
-
Game — required.
-
Activity Template — optional but worth using. Picking an activity prefills the name, duration and the whole slot list, so you are not retyping a roster every week.
-
Set the start time and duration. (Or flip Recurring event — see below.)
-
On the right, check the Character Slots. Unlike an activity, an event must have at least one named slot.
-
Create.
Two settings hide behind More options:
- Access Control — Open lets any guild member join. Invite only - Users must be invited to join locks it to people you invite. A chip appears on the collapsed section when it is set, so you cannot forget it is on.
- Description — free text shown on the event.
Recurring events
Flip Recurring event in the same dialog and the schedule field becomes a Recurrence Pattern picker — a week calendar where you toggle days and drag the hours.
TRAX then generates the actual events 14 days in advance, topping them up daily. You do not create instances yourself; you maintain the pattern.
Patterns live in Guild → Manage → Activities → Schedules, where you can edit or delete them.
Deleting a schedule deletes its generated events too. The confirmation says so. To cancel one week only, delete that single event from the calendar instead of the pattern.
Joining an event
Click any event on the calendar to open it. If it has not finished yet you get a two-step join form:
-
Select Character — the dropdown annotates each character with its level, gear score, and how many of the event's slots it qualifies for.
-
Select Slot — only the slots that character is eligible for are offered.
-
Join Event.
Once you are in, the form shows your character and a Leave button.
"No available slots for this character" means level, gear score or — most often — tags. A slot requires every tag it lists. Add the missing tag to your character and the slot becomes available.
On an invite-only event with no invitation for you, the join form is replaced by an Invite Only Event notice.
Inviting people
Open the event and press Invitations in its header (you need edit rights on events).
- On the left, choose a slot to filter candidates to characters that actually fit it. Characters currently looking for group are sorted first. Tick them and press Invite Selected.
- On the right, Pending Invitations shows who has been asked, when, and whether they have accepted, with a bin icon to withdraw one.
Invitees see the invitation on their Home feed and as a Discord DM with Accept / Decline buttons.
After the event
Once an event is under way or finished, its header shows a status band — Event in progress or Good job! — with a Renown button for awarding points to whoever turned up. See Renown.
What Discord sees
With a linked server, your guild channel gets a message when an event is created, updated or cancelled, with participation buttons on it. Thread notes follow as the event starts, fills, empties and ends. Participants get DM reminders one hour and five minutes before the start.
